How to share a trip plan with the people going
One version of the plan, one link, and a way for friends to send ideas back. Plus a card for your story at every stage of the trip.
A trip plan shared badly is a screenshot in a group chat that is out of date by the time anyone reads it. Shared well, it is one link everyone can open, and a way for the people going to add their own finds without taking the plan over.
One person holds the plan
Decide who keeps the plan. Everyone else sends ideas to that person. This is not about control; it is about having one version. Two people editing two copies is how the dinner gets booked twice.
Send a copy, and ask for ideas back
The link you send should open a copy of the plan on the other person's phone, so they can read it on the train and scribble on it without changing yours. Then ask for one thing: what they have found. A rooftop bar a friend mentioned, a reel they saved, the place they went last time. The person holding the plan folds those in.
Send it at the right moment
Three moments matter. When the dates are set, so people can book their own flights. About a week before, when the days have taken shape, so people know what is planned and what is open. And the night before each full day, one line: where you are starting and when.
Share the trip, not just the plan
Friends who are not coming still like to see where you are going. A picture of the trip ahead while you are planning, your agenda from the airport, the day's plan over the sunrise on the morning of. Those are worth more than the itinerary to the people at home.
Put it into practice
The Share button at the top of the planner opens one sheet with two choices. "Send the plan" makes a link that opens a copy of the trip on the other person's device, signed with your first name; their planner shows who shared it and offers "Send ideas back," which lands their links and ideas in your trip's Saved tab. "Share a card for your story" draws the trip over a photo you pick: "Here's my upcoming trip" while you plan, "Here is my agenda" the day before and the first day, and "Day 3 agenda" during, in Story or Post size. The photo never leaves your phone. Nothing here needs an account. If everyone wants to edit one plan together, that is a group trip on Plus: one invite link, and with Pro the host covers up to 24 people.
